1. Let's meet

Whenever we begin discussions with a prospective new client, we first meet to fully understand your requirements and ascertain your current situation. These findings allow us to compile the best possible solution for your unique demands. This initial meeting is carried out by our experienced senior leadership team who possess first-hand experience in supply chain management within the Far East and have built product brands from conception to market leaders.


2. Account management

With a solution having been established, you’re assigned a designated account manager who becomes your main contact point at GBP Asia. Our account managers essentially become an extended member of your team and have the same common goal in mind – to help you grow effectively and profitably. If you already have existing suppliers within China or Asia, your account manager will contact these professional partners to explain our role within your business. Typically, clients prefer that we portray we’re actually an employee of your company working within China rather than a separate business entity. At this stage, your account manager reports back on any information garnered from your incumbent suppliers which may be relevant to our ongoing relationship.


3. Product development and specification outlines

Alongside our clients, we develop product concepts and keep control of costs always throughout the project. We develop product specification guidelines before we get in touch with potential factories to make sure all relevant product needs are acknowledged and catered for from the outset. This early troubleshooting support prevents time loss during the process thereafter as the factories have clear and precise product specifications to meet. Within these product specifications, we outline any quality and safety standards that the product will be subject to. We liaise closely with SGS, Intertek and other auditors to oversee product testing and advise on appropriate standards and their compliance. 

It may be essential at this project phase to set up non-disclosure agreements (NDAs) before proceeding further in order to protect your intellectual property (IP) and brand.


4. Company vetting and ethical sourcing

Our goal is to find manufacturers and products which meet and exceed ethical standards. We provide certificate of conformity (COC) reports evidencing that factories have obtained the necessary standards to pass a COC audit. We also check the supplier has the relevant licenses and documents in place to export your product to your chosen global marketplace destinations.


5. Price and terms negotiation

Price is key to every business which is why we strive to achieve great value, quality products. We obtain the best possible price without jeopardizing product quality. To do so, we negotiate the optimum terms with factories and end clients with the proviso that terms can be extended only after several orders have been placed and trust in the supplier has been built.

It is worth noting here that our clients pay the supplier directly. We’re not a trading or sourcing agent. This pricing information is transparent.


6. Supply agreements

Once the supplier has been chosen, and the product and price agreed, we create a supply contract which is drawn up in Chinese and English to be signed by both client and supplier. This contract is put in place to protect both parties. Within the document are stipulations about the product specification, order quantity and agreed delivery date.


7. Sealed/confirmation samples

Multiple samples will be produced and refined in the early weeks of the project. Once the order is confirmed, we request sealed samples to keep on file. One of these sealed samples is sent to you for your own reference and one is kept in our offices. This sealed sample step is done to maintain quality standards throughout the mass production process.


8. Order placement, processing and management

Your account manager at GBP Asia assists with order placement and manages the order through critical path management from start to finish to ensure everything is on track with the supplier’s production line. We’ll update you on any issues that arise and we’re in constant dialogue with the factory concerned so that products are dispatched on time.


9. Inspections

We organize third-party inspections prior to the mass production products being shipped. These are carried out to Acceptable Quality Limit (AQL) II standard for your peace of mind.


10. Logistics and shipments

With our wealth of experience in logistics, we have preferential partnerships with some of the world’s leading shippers. This allows you to optimize your shipping costs. You have the option to add insurance to cover your goods whilst in transport if you don’t already have insurance for this purpose.
